Community Assistant
Belfast

We are recruiting for a Community Assistant (CA) to join our team and play a key role within our on-site sales and marketing. The CA is a part-time position with the primary responsibility of building relationships with current and prospective residents of our Novel Student platform, diligently pursuing all leads and closing the sales.

Reporting into the Leasing & Marketing Manager, the CA will work with them to ensure all sales and marketing goals for the building are met or exceeded. The CA is a natural sales and people-person who has a knack for social media and other marketing initiatives.

Your Mission

  • To support the Leasing & Marketing Manager, ensuring occupancy and leasing goals are met for the community
  • Leasing
    • Drive day-to-day leasing goals onsite at the community, interacting with prospective residents via phone, e-mail, and in person, conducting tours, diligently pursuing the close of each sale, performing follow ups, and completing leasing paperwork with prospective residents
    • Comprehend and be able to explain the lease in its entirety
    • Comprehend and abide by the leasing policies and company standards
    • Maintain confidentiality in all job tasks as it pertains to staff and tenants
    • Stock office with marketing materials each morning
    • Know all amenities and features of the property and how to favorably compare them to the competition
    • Report to Leasing & Marketing Manager each day regarding leasing traffic, prospect objections, and effectiveness of marketing and sales strategies
    • Ensure that our CRM (Hubspot) is kept up to date with all prospect information
  • Marketing
    • Assist with the execution of local marketing campaigns
    • Attend local events that are related to housing or the general marketing of the community
    • Provide ideas to centralized sales and marketing team for advertising/marketing tactics throughout the year
    • Maintain a positive and professional relationship with every potential resident and guest in order to spread positive word of mouth
    • Positively represent the property both on and off the clock
  • Accounting/Legal
    • Ensure that all lease files are accurate, complete, and organised
    • Accept application fees and security deposit payments from future residents and follow procedure regarding documentation and storage of payments
  • Property and Maintenance
    • Maintain a high standard of cleanliness and organisation in the show unit(s), tour route and leasing office
  • Resident Relations
    • Provide outstanding customer service for all residents
    • Input service requests in accordance with company standards
    • Communicate policies and procedures to residents
  • Turnover
    • Prepare necessary documents/packets for move-out and move-in
    • Assist with any tasks assigned to contribute to Turn process
  • Other
    • Assist property management with various projects as requested
    • Complete any additional tasks as assigned by your supervisor

Night Community Assistant
Glasgow

We are recruiting for a Night Community Assistant (NCA) to join our team and play a key role within our brand-new Novel Student accommodation. The Night CA is a position with the primary responsibility of building relationships with current and prospective residents of our Novel Student platform, and ensuring night time safety and security of all our residents.

Reporting into the Property Manager, the Night CA will ensure all customer service, health and safety goals for the building are met or exceeded. The Night CA is a natural people-person who understands the importance of customer service.

Your Mission

  • Working as part of the Property team you will be committed to ensuring that information regarding residents and the residence are shared amongst all members of the team.
  • Act as Front of House during the night by welcoming guests, and signing out anyparcels received and any shared items that are available for residents to borrow.
  • Assist with any general resident enquiries regarding the building or local area.
  • Respond to any calls received from residents via the emergency phone.
  • Log any calls received on the general office phone for the management team.
  • Complete an end of shift report for the management team regarding anyactivities throughout the night that require follow-up.
  • Carry out regular patrols of the residence.
  • Ensure resident policies and procedures are followed.
  • Monitor residents’ and guests’ arrival and departure from the site.
  • Ensure that the health and safety of all users of the building is upheld.
  • Provide emergency first aid assistance where required.
  • Report any illegal activities to the police.
  • Respond to active fire alarms on site to establish whether it is a false alarm andbegin emergency evacuation procedures if there is a genuine fire.
  • Monitor CCTV and download any footage that is necessary for further action totaken by the management team.
  • Carry out low level maintenance and escalate if support is required.
  • Monitor the Building Management System throughout the shift to ensure that thereis a constant supply of heating and hot water to all residents, report to themaintenance team immediately if there is a fault and arrange an emergency callout.

  • Experience working in a reception / front of house corporate environment including site patrols and access control
  • Previous experience of using communication equipment
  • Conflict management experience
  • High level of customer care awareness and commitment to providing excellent customer service
  • Exceptionally clear communication skills and interpersonal skills

  • Good report writing skills
  • Good handyperson skills
  • Able to work a variable shift pattern
  • First Aid training and/or IT literacy would be desirable

Community Assistant

Your Mission

  • Promote a ‘residents first’ culture and ensure their expectations are met.
  • Take responsibility for management of the office.
  • Ensure that the customer service level is consistently high and the agreed service level agreement is followed.
  • Assist with the sales and marketing of the residence, working with the central Marketing and Sales teams to ensure minimum 98% occupancy year-on-year.
  • Address complaints and breaches of the residence code of conduct with residents and parents, gathering relevant evidence and preparing written outcomes. Escalate to the Property Manager where necessary.
  • Manage and communicate room cleans and reactive maintenance works.
  • Assist the Systems team with the management of the property management system, ensuring all data entered by the team is correct and viable.
  • Provide out of hours support to the residence as required, to ensure that issues are escalated according to procedure.
  • Deliver on customer satisfaction targets.
  • Supervise on-site maintenance operations including planned preventative and reactive maintenance.
  • Supervise housekeeping operations to ensure that the site always remains presentable.
  • Implement and ensure that CAMS Standard Operating Procedures are adhered to by on-site staff and residents.
  • Work with the central team and local teams to ensure that a variety of fulfilling and relevant events are carried out regularly.
